At My Digital Diary, we want you to understand clearly what happens to the information you choose to store in the app. Our aim is simple: your information should help you use the features you choose, and it should be handled with care.

1. Information you choose to store

My Digital Diary allows you to record different parts of your personal and professional life. Depending on the features you use, this may include:

• Income, budgets, expenses, debts and savings

• Diet, exercise and sleep records
• Health and check-up information

Some of this information may be sensitive, particularly financial, health or personal information. You decide what information you enter into the app.

• Show your plans, tasks and reminders
• Prepare financial summaries and reports
• Track savings, expenses and other goals
• Send reminders and notifications you have enabled

We do not sell your personal information. We do not use your personal records for third-party advertising.

3. AI Planner and AI-powered features

My Digital Diary includes features such as the AI Planner and personalised insights. When you choose to use an AI-powered feature, relevant information from your account may be summarised and sent to the AI provider configured for that feature. This may include information such as:

• Plans and tasks
• Financial summaries
• Goals and savings progress
• Recent activities
• Health or productivity information where relevant to your request

We aim to send only information that is useful for producing the requested response rather than sending your entire account history. Where you provide your own OpenAI, Anthropic or other supported API credentials, requests may be processed using your own account and may be subject to that provider terms, privacy practices and charges. AI-generated information is intended to support planning and decision-making. It should not be treated as professional financial, medical, legal or other specialist advice.

4. Connected services

If you connect an external service, such as a calendar provider, we use the connection only to provide the feature you have requested. For example, connected calendar information may be used to show relevant meetings in My Digital Diary. You can disconnect supported external services through the available settings. Third-party services operate under their own terms and privacy policies.

5. Notifications and reminders

If you enable reminders or notifications, we may use your information to send:

• Task reminders
• Meeting reminders
• Daily planning summaries
• Subscription reminders
• End-of-day summaries
• Helpful financial, productivity or wellbeing tips

You can manage supported notification preferences through your account settings.

6. Reports and exports

You can request reports containing information from selected parts of your account.

• Where available, you may choose:
• Which information to include
• The period the report should cover
• The reason for requesting the report

A requested report may be generated as a PDF and sent to your registered email address. We may keep a record of report requests and their status so that you can track them.

7. Backups

Where backup features are enabled, your information may be included in secure system backups. Backups may be stored locally or with a configured cloud storage provider. Backup access should be restricted to authorised administrators and used for business continuity, recovery and data protection purposes.

8. Account deletion

If you ask to delete your account, we may first offer you the opportunity to receive a copy or backup of your information. Once you confirm deletion, your account may be placed into a 30-day deletion period. During that time:

• Your account is scheduled for permanent deletion
• You may be able to cancel the deletion request
• Your information remains protected while the deletion request is pending

At the end of the 30-day period, eligible account information will be permanently deleted in accordance with our deletion process. Once information has been permanently deleted, it may not be possible to restore it. Some limited information may need to be retained where required by law, security, fraud prevention, financial record-keeping or legitimate business obligations.

9. Your choices and rights

Depending on applicable law and the features available in your account, you may be able to:

• Access the information stored in your account
• Correct inaccurate information
• Export selected or all available account information
• Request a personal data report
• Change notification preferences
• Disconnect connected services
• Request account deletion
• Cancel a pending deletion request during the available grace period
• Contact us with questions about your information

10. Keeping your information safe

We use reasonable technical and organisational measures designed to protect account information. These may include:

• Restricted administrative access

No online service can guarantee absolute security, so we also encourage you to use a strong password and protect access to your devices.

11. How long we keep information

We keep information for as long as it is needed to provide the service, comply with legal obligations, resolve disputes, protect users and maintain system integrity. Where you delete information or your account, it will be handled according to the relevant deletion and backup processes.

We may update this Privacy Policy when our services change or when legal or operational requirements change. When important changes are made, we may update the version or date shown on this page and may notify users where appropriate.
